Printing The Structure of Your Tables:
Frequently you need a printout of the design of your tables in Access. Reports give results of the contents of tables, but not the size, and type of data in each field. The Documenter, which comes with Access does do this. For many of the assignments if I do not see the actual table, by printing out results with the Documenter you can verify, compare, and then go back and if necessary modify the table design.
Be careful what you check for the options, checking unnecessary items makes your reports too long and wastes lots of paperů This may lower your grade!
To use the Documenter:
Go to Tools, Analyze, Documenter:
If the Documenter is not installed you will get a notice, and it must be installed from the Office 2000 CD. After it is installed(if necessary) the Documenter Screen Pops Up.
If you are printing out a table make sure the Tables Tab is Selected. You can also print queries, forms, reports, and macros with the Documentor.
Now set the options by clicking on Options.
Under Include for Table Uncheck:Properties, Code, and Permissions
Under Include for Fields Check the Middle Radio Button: Names Data Types and Sizes
Under Include for Indexes Check the Top Button: Nothing
Now Click OK,
Now put a check by the table or tables you wish to print, and Click OK again.
After a few minutes you will get a preview of the report, click on print and it will print.
If you get an error that you have no printer installed, see about getting the printer on your machine working.
